How to Proofread an AI Transcript Quickly and Accurately

An AI transcript is a strong first draft, not a finished document. Proofreading usually takes a fraction of the time of typing from scratch, if you follow a method instead of reading randomly.
Pass 1: facts
Play the audio at 1.25 times speed while you read along. Fix only meaning errors: names, places, numbers, dates, and technical terms. Use the timestamps to jump back to any part you are unsure about. Keep a short list of correct spellings as you go.
Pass 2: structure
- Add paragraph breaks where the topic changes.
- Label speakers, for example "Interviewer" and "Guest".
- Fix punctuation, especially question marks and the ends of sentences.
- Use find and replace for terms the model spelled the same wrong way every time.
Pass 3: style
Decide whether you are producing a verbatim or clean transcript and apply it consistently. Remove fillers if you chose clean verbatim. Then read the text aloud, or have your computer read it, because awkward errors are easier to hear than to see.
The errors worth checking first
- Negations such as "can" and "can't", which change the whole meaning.
- Numbers, prices, and dates.
- Names of people and organizations.
- Homophones such as "their" and "there".
- Text that appears during silence or music, which may not have been spoken at all.
Save time next time
Better audio gives a better transcript, so a quiet room and a close microphone reduce proofreading more than any editing trick. Choose the correct spoken language before transcribing, and split long recordings so errors do not pile up in one huge file.
